Duties

Event Planner Support (Volunteer)

Overview
Afiwi Groove School is seeking an Event Planner to support the planning and execution of our June 28 Showcase at the Regent Theatre.

This role focuses on coordinating logistics, timelines, and team communication to help deliver a smooth, organized, and memorable experience across two shows.

Key Responsibilities

1. Planning & Coordination

  • Support overall showcase planning and execution
  • Maintain timeline, track tasks, and coordinate meetings
  • Ensure alignment across instructors, production, and volunteers

2. Event Logistics

  • Coordinate event-day flow (check-in, seating, timing)
  • Support front-of-house and backstage coordination
  • Help develop the run-of-show and event-day schedule

3. Vendor Coordination

  • Liaise with vendors (decor, media, signage, etc.)
  • Confirm timing, deliverables, and logistics
  • Track follow-ups and outstanding needs

4. Volunteer Support

  • Help organize event-day volunteer roles (ushers, check-in, runners)
  • Create simple shift schedules for two shows
  • Support communication and orientation

5. Event Day (June 28)

  • Provide on-site coordination for setup, both shows, and pack-down
  • Monitor timing and support smooth transitions
  • Troubleshoot and support team needs in real time
